Texas AgriForestry Small Farmers, Ranchers, and Landowners (“TASFRL,” “we,” “our,” or “the Organization”), a 501(c)(3) nonprofit, is committed to protecting the privacy and confidentiality of all personal information entrusted to us. This Privacy Statement outlines how we collect, use, safeguard, and disclose information in accordance with our Bylaws, Confidentiality Policy (Appendix B), Code of Ethics (Appendix A), and Document Retention Policy (Exhibit E).

By creating a membership account, submitting information through this website, or requesting TASFRL services, you acknowledge and accept the practices described in this Privacy Statement.


1. Information We Collect

We may collect the following types of information:

Personal Identifying Information

Name, mailing address, phone number, email address, date of birth, and membership details.

Landowner / Client Information

Property location, acreage, GIS/GPS coordinates, photos, videos, drone imagery, land-use goals, service requests, and project documentation collected during assessments or field activities.

Financial Information

Payment information when applicable (e.g., service fees, donations, event registration).

Technical Information

IP address, device identifiers, browser type, operating system, website usage data, and security-related logs.

Voluntary Information

Surveys, outreach participation, demographic information, or program interest submissions.


2. How We Use Your Information

TASFRL uses personal information only for legitimate nonprofit purposes, including:

  • Membership administration, communications, and verification

  • Scheduling and delivering programs, services, and field operations

  • Land assessments, mapping, and technical support

  • Compliance with grant, donor, or reporting requirements

  • Organizational planning, analytics, and impact measurement

  • Safety, risk management, and legal compliance

  • Communication about programs, workshops, events, opportunities, and updates

  • Maintaining accurate corporate records per our Document Retention Policy (Exhibit E)

We do not collect information for commercial advertising purposes.


3. No Sale of Personal Data

TASFRL does not and will not sell, rent, trade, or share your personal information with marketers or external commercial entities.

No customer, member, donor, or client data will ever be sold.


4. Confidentiality Obligations

Consistent with Appendix B (Confidentiality Policy), TASFRL personnel, volunteers, and contractors are required to:

  • Treat all client and member information as confidential

  • Access information only for authorized duties

  • Prevent unauthorized disclosure to third parties

5. When We May Share Information

We may disclose limited information only when necessary and only under the following circumstances:

  • With your explicit written or electronic consent

  • To third-party providers who assist TASFRL operations (e.g., secure file storage, payment processors), bound by confidentiality obligations

  • When required by law, subpoena, court order, or regulatory authority

  • To protect life, safety, or property

  • For service delivery, such as contractors performing field work under TASFRL direction

We never share more information than is reasonably necessary.


6. Data Storage, Security, and Retention

TASFRL maintains all records in accordance with:

  • Bylaws Article XII (Operations)

  • Document Retention Policy (Exhibit E)

  • Confidentiality Policy (Appendix B)

We use reasonable administrative, technical, and physical safeguards to protect data from unauthorized access, alteration, disclosure, or destruction. Records are stored in TASFRL’s secure designated electronic media systems.


7. Your Rights

You may request:

  • A copy of the personal information we hold

  • Corrections to inaccurate or incomplete information

  • Deletion of information (where permitted by law and not required for retention)

  • Clarification on how your information is used
